Everything CVPitch does, from upload to client response
Every CVPitch feature: scan and photo intake, source-checked review, layouts and Word templates, anonymisation, AI writing, shortlists and ATS links.
These are the CVPitch features that take a CV from upload to client response. CVPitch turns a candidate's CV, whether it is a Word file, a PDF, a scan or a photo, into your agency's client-ready submission. Every fact sits beside its source, contact details come off on your terms, a recruiter approves the exact version, and you export an editable Word file with a matching PDF or share it through a tracked link. Every feature below is on every plan with unlimited users, except white-label branding and a custom client domain, which come with the Agency plan. Optional AI tools use AI credits, and every plan includes a monthly allowance.
Upload and extraction
- PDF and Word (DOCX) files up to 10 MiB, with PDFs up to 20 pages and 120,000 characters of text.
- Scanned PDFs and photos of CVs (PNG, JPEG, WebP or TIFF) are read with AI text recognition (OCR) at 1 AI credit per page. The transcription becomes the source evidence, the original stays available to compare against, and a review flag asks you to check names, dates, figures and contact details before approval.
- Older and plain-text formats. Word .doc, .rtf and .odt files are converted automatically in an isolated document service, with a review flag to check tables, headers and footers. Plain .txt files up to 1 MiB are accepted too.
- Bulk upload of several CVs at once, or upload through the REST API.
- Format by email. Forward CVs to your workspace's private intake address and get review links back by reply (see below).
- Import from your ATS or CRM. Pick a candidate and a CV attachment in a connected system; see integrations.
- Headers, footers and tables are read as source text, so details in them are not missed.
- AI extraction by Anthropic's Claude (Haiku model), with a hard cost cap per CV. The CV is treated as data, never as instructions.
- The original is stored separately and never overwritten.
A text PDF or Word file is still the cleanest source: it needs no AI credits and no transcription check. To see whether a PDF has a text layer before you upload it, try the free ATS readiness checker.
Format CVs by email
A workspace owner switches on a private intake address for the workspace. Recruiters then forward a candidate's CV from their own work mailbox:
- Each attached CV (up to 10 per email, 10 MiB each) becomes a submission in your default client template.
- One reply lists a review link for each file, with a plain reason for any file that could not be processed.
- Optionally, once a recruiter has approved and exported a CV, the final DOCX and PDF are emailed back to the colleague who sent it. Files only ever go to an active member of the workspace.
- Only workspace members and up to 20 addresses the owner allows can use the address, and the sender's domain must pass standard DMARC email authentication. Unknown, unauthenticated or automated mail is ignored without a reply.
- The email's subject and body are not stored, and the owner can rotate the address at any time.
Email intake creates drafts. A recruiter still reviews and approves every CV before anything is exported.
Review facts beside the source
- Evidence for every fact. Each employer, title, date, qualification, certification and skill links to the exact passage it came from. PDFs show the real page; Word files show the original text blocks; scans and photos show the AI transcription.
- Unverified facts are marked. If a fact has no supporting passage, it says so.
- Origins are labelled. Extracted, recruiter-corrected, recruiter-added and AI-assisted wording are visibly different, so nobody mistakes your note for the candidate's words.
- Review flags. Ambiguous dates, missing required sections, OCR transcriptions to check and client questions are listed, and must be resolved before approval.
- Source coverage. See any CV text that has not been carried into the submission, and record why when you leave something out on purpose.
- Undo and redo while you edit, with the usual keyboard shortcuts.
- Version history. Every save creates a new revision. Compare any revision with the one before it or with the current version, see who made it, and restore an earlier version. A restore creates a new revision, so the CV needs approving again.
- Conflict protection. If a colleague saves the same CV first, you see a conflict instead of silently overwriting their work.

AI writing assistance
Optional AI tools work only with what the CV already says. Each one returns a proposal: you see every change word by word, tick the ones you want, and nothing is saved until you accept.
- Rewrite a summary or a role in a professional, confident, concise or warm tone, shorter or longer, in first person, third person or the implied first person usual on CVs.
- Summary written from the facts already extracted, or an improvement of the existing one, with a list of the facts it drew on.
- Proofreading for spelling, grammar, punctuation and tense. Mixed date formats are pointed out but never edited.
- Chat edits. Type an instruction such as "make the bullets past tense", or pick one from your team's shared prompt library, which owners manage.
- Translation into 14 languages, including French, German, Spanish, Dutch, Polish, Arabic, Chinese and Japanese, as a proposal you review.
- Measurable-outcome questions. AI points to bullets with no measurable result and suggests what to ask the candidate. It never suggests numbers; anything you add afterwards is labelled recruiter-added.
Automatic checks on our server drop suggestions that change protected facts (names, employers, job titles, dates, qualifications and locations) or that add numbers, links, contact details or names not found in the CV. The checks are rule-based and cannot catch every change, so a recruiter reviews each one, accepted wording is labelled AI-assisted, and the CV must be approved again. Each request uses 1 AI credit (translation uses 3), and credits are not charged when a request fails or returns no usable suggestion.
Client formats
Create a client variant for each format you send regularly:
- one of five layouts: classic, modern, compact, executive or sidebar;
- one of five fonts: Arial-, Times New Roman-, Calibri- and Cambria-compatible faces, or DejaVu Sans;
- agency name, logo and client label;
- accent colour, section order and section headings;
- required sections and a maximum page count;
- a privacy preset: named client, anonymous prospect or custom;
- required recruiter fields, such as rate, availability or right-to-represent date;
- a candidate reference rule and an export filename pattern;
- an optional coversheet and text direction, including right-to-left.
Use your own Word template. Owners can upload the agency's own .docx with simple tags such as {{name}}, {{summary}} and a repeating {{#experience}} block, then choose it in any client variant. CVPitch checks the template before saving it, rejects macros, linked content, unsupported fields and unknown tags, and tells you where each problem is. Templates are fill-in only, with no code or expressions, and the same approval and contact-removal rules apply. A tagged sample template is provided; templates can be up to 2 MiB, with up to 20 per workspace.
Variants are versioned, so changing a client's format never alters CVs approved against the earlier version. You can also start a variant from a sample CV in the client's format; CVPitch suggests section order and headings, and you confirm them after checking the Word and PDF output. Contact removal and anonymisation
- Choose what the client should not see: email, phone, address and personal links, or replace the name with a candidate reference. New submissions start with email, phone, address and links selected for removal.
- Remove personal-detail lines: date of birth and age; nationality, visa and right-to-work lines; and gender, marital status and religion lines. Sentences that mix such a detail with other content are not edited automatically; they are listed for you to fix. Detection relies on English labels and phrasing.
- Mask employers and institutions with descriptors such as "Global investment bank" or "UK university", everywhere the name appears, including bullets and summaries. Type your own descriptors, or let AI suggest them for 1 AI credit per candidate; nothing is saved until you save the policy.
- Removed everywhere it matters: the generated DOCX, the PDF and hidden document metadata. Logo files have their metadata removed too.
- Originals stay private and unchanged in your workspace.

Approval and export
- Draft PDF previews are free and visibly marked as drafts.
- Approval is tied to the saved facts, the client template version and the contact-removal policy. Change any of them and the CV needs approving again.
- Editable DOCX plus matching PDF, both generated from one approved snapshot.
- JSON export of the approved CV's values and their origins, for your own systems.
- Attach to your ATS or CRM. Send the approved files to the candidate's record in a connected system.
- One export is one approved CV as a DOCX + PDF pair. Previews and re-downloads are free.
- An export pack includes a draft email (subject, recipient and body) for you to send from your own mailbox, plus a record of what was approved.
Job match and pitch
Paste a job description and CVPitch lists its requirements, then marks each one as:
- Evidenced: the CV clearly shows it, with the supporting passage;
- Partly evidenced: the CV shows something related, with the passage;
- Not shown: nothing in the CV supports it.
The matching is deterministic, with no AI guessing, and every status shows the passage behind it. CVPitch then drafts an editable pitch email that cites the evidence, and a list of gaps to confirm with the candidate before you submit. Nothing is sent automatically. Shortlists and client engagement
- Shortlists of up to 25 approved candidates, in the order you choose, each with a short note you write or start from the job-match pitch.
- Shortlist exports as a PowerPoint deck, an Excel sheet or JSON, either named or anonymised, built only from approved CVs.
- Spotlight links. Share a whole shortlist through one expiring link, anonymised by default. Each candidate has a web profile, and the client can choose Request interview, Maybe or Not a fit for each one.
- Client engagement reporting. For each client, see links sent, how many were opened, time to first open, unique visitors, downloads and responses. Visitors are counted with a keyed hash; IP addresses and browser details are not stored.
- Agency talent page (optional). Publish anonymised profiles of candidates who have agreed to be shown, each for up to 90 days, with an enquiry form for clients. Names, contact details and summaries never appear, employers and institutions show only as descriptors, and search-engine indexing stays off unless you turn it on.
Candidate confirmation and interview notes
- Candidate confirmation links. Send a private, expiring link that asks the candidate only the questions you choose. Answers come back as proposals, labelled candidate-confirmed, for you to accept.
- Interview transcripts. Import a .vtt or .txt transcript exported from Zoom, Microsoft Teams or Google Meet, after confirming you have permission. Notes are added as labelled recruiter notes, never mixed with CV facts.
Reuse, compare and review queue
- Reuse a reviewed CV in another client's variant without re-uploading. Each version is approved in its own format.
- Compare an updated CV with the previous one to see what changed in the source and the extracted facts.
- Review queue. See every submission with unresolved flags, unmet client rules or processing errors in one list.
Share with clients
Share an approved CV through a secure, expiring link. The client sees a web profile of the approved CV and can download the files; you see when it is opened and downloaded, and the client can choose Request interview, Maybe or Not a fit with a comment. Revoke a link at any time. Share pages are not indexed by search engines, and only approved CVs can be shared.
Team, workspace and enterprise
- Unlimited users on every plan. Owners manage templates, retention, billing and integrations; recruiters prepare and export CVs.
- Workspace isolation. Access is based on authenticated membership of your agency's workspace.
- Single sign-on with OIDC or SAML 2.0, with setup guides for Microsoft Entra ID, Google Workspace and Okta. Verify your email domain, optionally create accounts for new colleagues on first sign-in, and require SSO for the workspace with a named owner kept as a password fallback.
- White-label and a custom client domain (Agency plan). Show your agency's name and logo instead of CVPitch on client share pages and the talent page, and serve those pages from your own domain.
- Data location. Workspace settings show the hosting, backup and AI processing locations declared for the service. The privacy page has the details.
- Audit log export. Owners can download workspace activity as a CSV file.
- Retention you set from 1 to 90 days, and deletion at any time.
- Usage at a glance: remaining exports, uploads and AI credits for the period.
- Self-hosting on your own infrastructure is available under licence on request.
AI credits
OCR and the AI writing tools use AI credits. Uploading text files, reviewing, job match, sharing and exporting do not.

Every plan includes credits each month: 100 on Starter, 400 on Pro and 1,200 on Agency, and the free trial includes 25 once. Included credits are used first and reset monthly. If you need more, credits are available as add-on packs of 100 ($9), 500 ($29) or 2,000 ($79), which do not expire.
Integrations
CVPitch has native connectors for Recruit CRM, Greenhouse, Lever, Workable, Ashby, Teamtailor, Recruitee, SmartRecruiters and Crelate (import a CV and attach approved files back) and for Manatal (import only). It connects to Claude and ChatGPT through a remote MCP server, to Slack, Microsoft Teams, Discord and Google Chat for notifications, and to anything else through a REST API and signed webhooks, including Zapier, Make and n8n. - Invent or embellish facts, or score and rank candidates. AI writing only rephrases what the CV already says, as proposals you accept.
- Approve a CV for you. A recruiter approves every version that is exported or shared.
- Send emails or submissions to clients on your behalf. Email intake replies only to your own team.
- Offer a drag-and-drop layout designer. You choose a layout or tag your own Word template.
- Replace your ATS or CRM.

Frequently asked questions
Does CVPitch change what the candidate wrote?
Not on its own. Extraction lays the CV's facts out in your format without inventing employers, dates, skills or achievements; uncertain items are flagged, and anything you add or correct is labelled. Optional AI writing tools propose new wording, which you accept or reject change by change.
Can CVPitch read scanned or photographed CVs?
Yes. Scanned PDFs and photos in PNG, JPEG, WebP or TIFF format are read with AI text recognition at 1 AI credit per page. The transcription is flagged so a recruiter checks it against the image before approval.
Are any features limited to higher plans?
Only white-label branding and a custom client domain, which come with Agency. Everything else is on every plan with unlimited users. Plans differ in exports and included AI credits per month.
Can I use my own Word template?
Yes. Add simple tags to your .docx, upload it, and CVPitch checks it and fills it from the approved facts. You can also use one of the five built-in layouts.
Can I edit the exported Word file?
Yes. The DOCX is a normal, editable Word document. Edits made in Word afterwards are not checked by CVPitch, so make factual changes in CVPitch and approve again.
Which AI model does CVPitch use?
CVPitch uses Anthropic's Claude (Haiku model) for extraction, OCR and the AI writing tools, with cost caps on every request. Job matching is deterministic and does not rely on AI judgement. Details of the provider are on our privacy page.
