CV Formatting Software for Independent Recruiters
How independent recruiters use CVPitch to send polished, branded candidate CVs and evidence-backed pitches without a designer or big-agency budget.
CV formatting software for independent recruiters needs to save time without adding admin. As an independent recruiter you are the researcher, the account manager, the consultant and the administrator. Every hour spent reformatting a CV in Word is an hour not spent on the phone, and yet the CV you send is often the first piece of your work a new client sees. It has to look as good as anything a large agency sends, and be just as accurate.
CVPitch gives solo recruiters a big-agency submission process for $19 a month: your branding, facts checked against the source, contact details removed properly, and an editable Word file plus matching PDF.
The solo recruiter's formatting problem
- No admin support. Nobody else will catch a wrong date before the client does.
- Many client formats. Each client has preferences, and you have to remember them all.
- Credibility on first contact. A tidy, consistent submission helps a new client take you seriously.
- Protecting your fee. A phone number left in a footer lets a client approach the candidate directly.
How CVPitch works for one person
- Set up your brand once. Create a client variant with one of five layouts, your business name and logo, accent colour, section order and headings, or upload your own Word template with placeholder tags. Add a variant for each client with particular requirements.
- Upload the CV, or several at once, or forward it to your workspace's private email address. Word and text PDFs work best; scans and photos are read by OCR at 1 AI credit per page.
- Check each fact beside its source. Every employer, title, date, qualification and skill links to the passage it came from; uncertain items are flagged.
- Remove contact details. Strip email, phone, address and links from the DOCX, PDF and hidden metadata, or replace the name with a candidate reference.
- Approve and export. You get an editable Word file and a matching PDF from the same approved version.
If you edit anything after approving, CVPitch asks you to approve again. It is a small safeguard that matters most when you are tired and working late.
Pitch candidates with evidence
Paste the client's job description and CVPitch marks each requirement as evidenced, partly evidenced or not shown, with the CV passage beside it. The matching is deterministic, so it does not invent experience. It drafts an editable pitch email that cites the evidence, plus a list of gaps to confirm with the candidate before you call the client. For a solo recruiter, that turns a blank email into a reviewed draft. See how to pitch a candidate to a client and our candidate submission email template.
Look professional when sharing
Instead of attaching files to an email, share the approved CV through a secure, expiring link. You see when the client opens and downloads it, and they can choose Request interview, Maybe or Not a fit with a comment. Revoke the link at any time. Share pages are not indexed by search engines.
Confirm details without chasing
When a date or qualification is unclear, send the candidate a private, expiring confirmation link that asks only the questions you choose. Their answers come back for you to review and accept, labelled candidate-confirmed.
Work from Claude or ChatGPT if you like
If you already use Claude or ChatGPT, connect CVPitch through its remote MCP server at https://cvpitch.app/mcp. Your assistant can list your submissions, check their status, create draft previews and export CVs you have already approved. It can suggest changes for you to review, but it can never approve a CV. Read our MCP guide.
What a typical week looks like
On Monday, a client sends a new brief. You paste it into job match for the two strongest candidates in your pipeline and see, requirement by requirement, what each CV evidences. One CV is missing a certification date, so you send that candidate a confirmation link and move on.
On Tuesday, the candidate's answer comes back. You accept it, check the remaining facts against the source, choose contact removal and approve. You share the CV with the hiring manager through a tracked link and send the edited pitch email from your own mailbox.
On Wednesday, you see the client opened and downloaded the CV and chose Request interview. You did not have to chase. The same candidate suits another client's role, so you reuse the reviewed CV in that client's format and approve it in a few clicks.
None of that needs a designer, an ATS or an assistant.
What it costs
Starter is $19 a month for 50 exports. One export is one approved CV as a DOCX + PDF pair; previews and re-downloads are free. If you grow, Pro is $49 for 200 and Agency $99 for 500, and every plan includes unlimited users, so an associate or researcher can join at no extra cost. Start with 10 free exports and no card. See pricing.
Honest limits
- Scans and photos can be read, but each page uses an AI credit (Starter includes 100 a month) and the transcription needs checking against the image.
- It does not design or rebuild templates for you; you choose a layout or tag your own Word template.
- It does not send emails to clients for you or replace your ATS or CRM.
- It does not embellish candidates' experience. Its optional AI writing tools only rephrase what the CV says, as proposals you accept or reject.

Frequently asked questions
Is CVPitch worth it for a one-person recruitment business?
If you send more than a handful of CVs a month, probably. The $19 Starter plan covers 50 exports. Time your current Word routine on a few CVs, then try the same CVs in the free trial and compare.
Can I use my own branding?
Yes. Add your business name, logo and accent colour to a client variant, choose a layout and font, and set the section order and headings, or upload your own tagged Word template. Logos can be PNG or JPEG up to 250 KiB.
Do I need an ATS to use CVPitch?
No. CVPitch works on its own: upload, review, approve, export or share. If you use Recruit CRM, Crelate or another connected system, import CVs from it and attach approved files back (Manatal supports import only); for anything else, use the API, webhooks or Zapier, Make and n8n. See integrations.
Can I cancel at any time?
Yes. Plans are monthly and you keep access until the end of the period you have paid for. Unused exports do not roll over.
