CV Formatting in Recruitment: Definition and Best Practice

CV formatting in recruitment means rebuilding a candidate's CV in an agency or client layout without changing its facts. Learn how it works in practice.

CV formatting, in recruitment, is the process of rebuilding a candidate's CV in an agency's or client's standard layout, with consistent branding, section order and styling, while keeping the candidate's facts exactly as they were.

It is different from the CV advice job seekers receive. A job seeker formats their own CV to stand out; a recruiter formats a candidate's CV so that a client can compare several candidates quickly and recognise the agency behind them.

Why agencies reformat CVs

  • Consistency. A shortlist where every CV follows the same structure is easier for a hiring manager to read and compare.
  • Branding. The agency's name and logo on every page reminds the client who introduced the candidate.
  • Client requirements. Many larger clients specify section order, headings, page limits or a coversheet.
  • Privacy and fee protection. Reformatting is the natural moment to remove contact details so the client comes back through the agency.
  • Clarity. Candidate CVs arrive in every possible design, from two-column templates to tables and text boxes. A clean layout removes the noise.

What good CV formatting preserves

Formatting changes how a CV looks, never what it says. In particular it should preserve:

  • employer names, job titles and dates exactly as written;
  • qualifiers such as "part-qualified", "expected 2027" or "not completed";
  • the candidate's own description of their responsibilities and achievements;
  • the distinction between the candidate's words and anything the recruiter adds.

If a recruiter needs to add information, such as availability or rate, it should be clearly labelled as coming from the recruiter.

Manual versus software formatting

Manual formatting means copying content from the candidate's file into a Word template by hand. It is flexible and free, but slow, and copy-paste errors and missed contact details are common. A quick formatting checklist

  1. Keep the original CV unchanged.
  2. Use the right client format and the latest version of it.
  3. Check every date, title and qualification against the original.
  4. Remove contact details from the text, headers, footers and file properties.
  5. Check page breaks in the PDF and that the Word file still opens and edits cleanly.
  6. Make sure the Word file and PDF come from the same final version.
