Recruitment CRM: Definition and How It Differs From an ATS
A recruitment CRM is software agencies use to manage relationships with candidates and clients over time. Learn what it does and how it compares.
A recruitment CRM (candidate or client relationship management system) is software that recruitment agencies use to manage relationships with candidates and clients over time: storing contact history, tracking conversations, nurturing talent pools and managing business development.
Where an applicant tracking system is organised around jobs and the candidates moving through each one, a CRM is organised around people and relationships that last longer than any single vacancy.
What a recruitment CRM typically does
- Candidate relationship management. Notes, calls, emails, preferences and availability, built up over years.
- Client relationship management. Contacts at each client, meetings, terms of business and placement history.
- Talent pools and pipelines. Groups of candidates for recurring roles, kept warm with regular contact.
- Business development. Leads, opportunities and outreach to prospective clients.
- Campaigns. Email or message sequences to candidates and clients, with opt-out handling.
- Reporting. Activity and revenue metrics by recruiter or desk.
Many products used by agencies combine ATS and CRM functions in one system, so the line between them is blurred in practice. Vendors often describe themselves as "ATS and CRM" for staffing.

Where CVs and formatting fit
The CRM is usually where a candidate's original CV is stored, often parsed into searchable fields by CV parsing. When the recruiter is ready to submit the candidate, the CV is formatted into the client's layout and the submission is logged back against the candidate and the job. That round trip is where many agencies lose time: downloading the CV, reformatting it, and uploading the formatted version again.
