CV Formatting for Contract Staffing Agencies
How contract staffing agencies use CVPitch to format contractor CVs fast, add day rates as labelled fields and track client responses to every CV.
On a contract desk, speed decides who places the candidate, which makes CV formatting for contract staffing a race against the clock. A client releases a requirement in the morning, several agencies have the same contractor on file, and the first complete, credible submission often gets the interview. What a contract submission needs
- Availability and notice. Often the first thing the client checks.
- Rate. Day or hourly rate, and in some markets the engagement basis, as agreed with the candidate.
- Recent, relevant assignments. Contractors' CVs list many short roles; clients want the relevant ones clear and dated.
- Your agency's right to represent. Confirmation that the candidate has agreed to be put forward for this role by you.
- No contact details, so the client comes back through you.
A faster contract workflow
- Upload one or many CVs. Bulk upload handles several contractors at once, or forward CVs to your workspace's private email address, or import them from a connected ATS. PDF and Word files work best; older .doc, .rtf and .odt files are converted, and scans or photos are read by OCR at 1 AI credit per page.
- Review facts beside the source. Each assignment, client, date range, skill and certification links to its source passage. Overlapping or unclear dates are flagged.
- Add the contract details. Use client rules to require recruiter fields such as day rate, availability and notice period. Each is labelled recruiter-added, with who added it and when, so nobody mistakes your rate for something the candidate wrote.
- Remove contact details from the DOCX, PDF and hidden metadata, or replace the name with a candidate reference.
- Approve and export, or share the approved CV directly.
Approval is tied to the exact facts, client template and privacy settings. If someone changes the rate field after approval, the CV must be approved again.
Make right to represent part of the process
CVPitch does not collect candidate consent for you, but it can make it hard to forget. Add a required recruiter field for your right-to-represent confirmation, for example the date the candidate agreed to this submission, and the CV cannot be approved until it is filled in. Reuse one contractor for several clients
Contractors are often put forward to several end clients in a week. Reuse a reviewed CV in another client's variant rather than uploading and checking it again, and approve each version in its own format. If the contractor sends an updated CV, compare it with the previous one to see what changed in the source and the extracted facts before you approve anything new.

Track every submission
Send the approved CV through a secure, expiring share link. You can see when the client opens and downloads it, and they can choose Request interview, Maybe or Not a fit with a comment. Revoke the link if the contractor accepts another role.
Putting several contractors forward for one requirement? Add them to a shortlist and send one spotlight link, anonymised by default, or export the shortlist as an Excel sheet or PowerPoint deck. The client engagement report shows which clients opened what, and how quickly.
Get notified where the desk already works: Slack, Microsoft Teams, Discord or Google Chat messages when a CV is ready for review, approved, exported or opened by the client. Notifications carry metadata only, never CV text. Setting up a contract desk in CVPitch
A short checklist gets a desk running in its first week:
- Create a plain agency variant with your branding, for clients without a stated format.
- Create a variant for each regular client that has its own layout, headings or page limit.
- Add required recruiter fields to each variant: rate, availability, notice period and your right-to-represent date. Making them required means a CV cannot be approved without them.
- Choose a privacy preset per client: named candidate with contacts removed, or an anonymous prospect with a candidate reference.
- Set a filename pattern so exported files use your candidate reference rather than the candidate's name.
- Connect notifications to the channel your desk watches, and webhooks if you want responses written back to your ATS.
- Invite the whole team. Users are unlimited on every plan, so there is no reason to share logins.

What CVPitch does not do
It does not send submissions to clients by email on your behalf, rank contractors, or replace your ATS. Rates and availability are your fields, not extracted facts. Scanned CVs can be read, but each page uses an AI credit and the transcription needs checking against the image, so ask for the Word file when you can.

Can we add day rates to the CV?
Yes, as recruiter-added fields that are clearly labelled. A client rule can make the rate field mandatory before a CV can be approved.
Does CVPitch work for high-volume contract desks?
Bulk upload, client variants and reusable reviewed CVs keep the per-CV effort low. Uploads are capped at twice your export allowance and a daily upload limit applies (10 a day on the trial, 100 on paid plans), so check that fits your peak days.
