CV Formatting for Healthcare Staffing Agencies
How healthcare staffing agencies use CVPitch to prepare source-checked clinician CVs, with contact removal and clearly labelled recruiter fields.
CV formatting for healthcare staffing has to keep pace with a fast market. A ward manager needs a nurse for next week, a practice needs a locum by Monday, and the agency that sends a complete, credible profile first often wins the booking. Yet clinician CVs are some of the hardest to reformat: long lists of placements and rotations, registrations and training certificates, and details that must be right because the client will rely on them.
CVPitch speeds up the formatting and the checking without pretending to do the compliance work for you. It turns a clinician's PDF or Word CV into your agency's client format, links every fact to its source, and keeps your own verified details clearly separate from what the candidate wrote.
What healthcare clients look for in a profile
- Registration and professional details, such as professional body registration, as provided and checked by the agency.
- Clinical settings and specialties. Wards, departments, theatres, community or primary care, with dates.
- Training and certificates. Life support, safeguarding, manual handling and specialist courses, as written.
- Availability and shift patterns. Often more important to a client than the career summary.
- A tidy, consistent layout that lets a busy manager compare candidates quickly.
How CVPitch fits a healthcare desk
- Upload the clinician's CV, or several at once with bulk upload, up to 10 MiB and, for PDFs, 20 pages. Word and text PDFs work best; a scanned or photographed CV is read by OCR at 1 AI credit per page, and you can also forward CVs to your workspace's email address.
- Check facts beside the source. Each placement, date, qualification and course links to the passage it came from. Uncertain items, such as an unclear date range, become review flags.
- Add agency-verified details as recruiter fields. Use client rules to require fields such as registration checked, availability or preferred shifts. Each is labelled recruiter-added, with who added it and when.
- Remove contact details. Strip email, phone, address and links from the generated DOCX, PDF and hidden metadata, or replace the name with a candidate reference.
- Approve and export. Approval is tied to the exact facts, client template and privacy settings. Export an editable Word file and a matching PDF.
Keep verification and formatting separate
CVPitch does not check professional registers, right-to-work status, DBS or other background checks, or occupational health clearance. Those remain your compliance team's job, using the official sources. What CVPitch does is make the distinction visible: facts extracted from the CV show their source passage, and anything your team confirms is labelled as a recruiter addition. A client reading the profile, or an auditor reviewing it later, can see which statements came from where.
If a client rule makes a field mandatory, the CV cannot be approved until someone fills it in. That is a simple way to stop a profile going out without, for example, an agency-confirmed availability line.
Ask the candidate to confirm details
Clinicians are busy, and chasing a missing date by phone is slow. CVPitch can create a private, expiring confirmation link that asks the candidate only the questions you choose, such as the end date of a placement. Their answers come back as proposals, labelled candidate-confirmed, and only change the profile once a recruiter accepts them.
Keep sensitive information out
Healthcare CVs occasionally contain information a client does not need, from home addresses to personal circumstances. CVPitch's contact removal covers email, phone, address and personal links across the generated documents and their hidden metadata. You can also remove date of birth and age lines, nationality, visa and right-to-work lines, and gender, marital status and religion lines; detection relies on English labels, and sentences that mix such a detail with other content are listed for you to fix. Health information and other personal circumstances are not detected automatically, so edit or omit them before approval. CVPitch's source coverage view shows any CV text that has not been carried into the submission, and you can record why you left it out. Read our guides to CV redaction and GDPR for recruitment agencies.
Match against the job, then pitch
Paste the shift or job requirements and CVPitch marks each as evidenced, partly evidenced or not shown, with the CV passage beside it. It drafts an editable pitch email citing the evidence and lists gaps to confirm with the candidate, such as a specialty the CV does not mention. The matching is deterministic; it does not guess at experience the CV does not show.
Share and get a decision faster
Send the approved profile through a secure, expiring share link, where the client sees a web profile and can download the files. You can see when the client opens or downloads it, and they can choose Request interview, Maybe or Not a fit with a comment. Revoke the link if the candidate is booked elsewhere. Pair it with chat notifications in Slack, Microsoft Teams, Discord or Google Chat so the desk sees responses straight away; notifications carry metadata only, never CV text. See integrations.
Setting up for your regular clients
Create a variant for each trust, practice or care group you supply regularly. Put the sections they care about first, typically registration details, clinical settings and training, and make the recruiter fields they expect required: registration checked, availability and preferred shifts. Set a page limit, add your logo and choose whether the client receives a named profile or one with a candidate reference. Run one CV through the variant, check the draft PDF, and the whole desk then works from the same format. When a client changes its requirements, create a new version so earlier approvals stay accurate.
Limits to plan around
- Scanned or photographed CVs are read by OCR, but each page uses an AI credit and the transcription must be checked against the image, so the Word file is still quicker when you can get it.
- CVPitch does not store compliance documents such as certificates or ID.
- If you use your own Word profile template, you add the placeholder tags yourself; nobody rebuilds it for you.

Frequently asked questions
Does CVPitch verify nursing or medical registrations?
No. Check registrations with the relevant professional body yourself. CVPitch lets you record the result as a recruiter-added field, clearly labelled, and can make that field mandatory for a client.
Can we use our existing client profile layout?
Yes. Add simple placeholder tags to your existing Word profile template and upload it; CVPitch checks it and fills it from the approved facts. Or configure a client variant with one of five layouts, your branding, logo, colours, section order, headings, required sections, page limit and an optional coversheet.
How long are clinician CVs kept?
Your workspace owner sets retention from 1 to 90 days, and you can delete a submission at any time. Deletion revokes access immediately and queues stored files for removal. See security.
What does it cost for a growing healthcare desk?
Plans start at $19 a month for 50 exports, with unlimited users and monthly AI credits on every plan. Compare plans on the pricing page or start a free trial.
